The short answer

What is an AI executive assistant?

An AI executive assistant is an agent that does the work a human EA does: triages email, schedules and reschedules meetings, writes the brief before a call, takes the notes after it, and follows up on what people owe you. Cicada's lives where you already talk, in iMessage, WhatsApp, Slack and email, works in the apps you connect, and remembers how you like things done. It asks before it sends anything to another person, so you stay the one who decides.

What it does

What your AI executive assistant does.

01

Runs the inbox

Reads what arrives, tells you what needs you, drafts the replies you'd write yourself and sends them when you say so. Newsletters and receipts get filed, not read to you.

02

Keeps the calendar honest

Books, moves and declines meetings from a sentence. Checks everyone's availability, writes the invite and the agenda, and protects the focus time you asked for.

03

Preps every meeting

A one-page brief before each call: who's on it, the last three threads with them, open items, the numbers you'll be asked about.

04

Takes the notes

Joins your Google Meet, Zoom, Teams and Webex calls as your notetaker and texts you the decisions, action items and numbers when the call ends.

05

Chases what you're owed

Tracks what people promised and when. Nudges them, in your voice, after a yes from you, and tells you the moment it lands.

06

Reports on a clock

"Text me the day at 7:30" becomes a morning message that arrives on the minute: meetings, the threads to read first, what's waiting on you.

Who it's for

Who hires an AI executive assistant.

Founders

A chief of staff before you can afford one

Inbox, calendar, investor follow-ups and the board deck's numbers, without hiring for it yet.

Executives

An EA that works at 11pm

Reschedules the morning from a text in the taxi, and has the brief ready when you land.

Sales leaders

Prep and follow-up on every deal

A brief before each customer call, the notes after, the CRM updated, the promised quote chased.

Agency owners

Client comms that don't slip

Every client thread answered or escalated, every status update sent on the day it was promised.

Consultants

Scheduling across time zones

Finds the slot that works for five people on three continents, sends the invites, moves them when plans change.

Human EAs

A second pair of hands

Takes the triage, the scheduling churn and the meeting notes so you can do the parts that need a person.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't read what isn't shared

Teammates' agents work only through the apps the workspace shares. Your inbox and your personal apps stay under your own login.

Questions

Frequently asked questions.

Where do I talk to it?

iMessage, WhatsApp, Slack, email or the web app. Link your phone with a code at sign-up and it answers in the same thread you text it in. In a group chat it stays quiet until someone names it.

Will it send emails as me?

Only when you ask, and only from your own connected inbox. Anything to another person waits for your OK in the chat, and you can require approval on every send or set an app to read-only.

Can it see my calendar and my teammates' calendars?

Yours, through your own Google or Outlook login. Teammates' availability comes through the calendar app the workspace shares; nothing of theirs is read through your login.

Does it join my meetings?

Yes. Send it a link or let it join from your calendar. It appears as your Cicada notetaker, says it's taking notes, and texts you the decisions and actions when the call ends.

How does it know how I like things done?

It keeps a profile of you (your preferences, your people, your rules) that you can read and edit in the app. Corrections you give it in the chat stick.

What won't it do?

It won't message anyone unless you asked, won't spend money, and won't state a number it couldn't confirm. If it isn't sure, it says so.

Is it one assistant or several?

Start with one. When the inbox and the calendar are a job of their own, it can hand parts to specialists it coordinates, and you still get one answer from the agent you asked.

Can my team use it too?

Yes. Everyone in your workspace gets their own agent. Shared apps are connected once for the team; personal apps like your inbox stay under your own login.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
