The short answer

What is an AI sales assistant?

An AI sales assistant is an agent that does the work around the selling: the brief before each call, the notes and the CRM update after it, the quote or proposal as a document, the follow-up that goes out on the day it was promised, and the pipeline report every Monday. Cicada's does it from iMessage, WhatsApp, Slack or email, works in the CRM and inbox you already use, joins your calls as a notetaker, and writes proposals as PDFs in your branding. Anything that goes to a customer waits for your yes.

What it does

What your AI sales assistant does.

01

Preps every call

A one-page brief before each meeting: who's on it, the deal's stage and history in HubSpot or Salesforce, the last three threads, what they asked last time and what they'll ask now.

02

Takes the notes and updates the CRM

Joins the call on Google Meet, Zoom, Teams or Webex, texts you the decisions and next steps, and logs the notes, the stage change and the follow-up date in the CRM.

03

Keeps the CRM honest

Every week it finds the deals with no next step, the close dates in the past and the contacts with no email, and fixes what you approve.

04

Writes quotes and proposals

From the last one you sent and what was agreed on the call, as a PDF or a Google Doc in your branding, shared as a link you can forward or send yourself.

05

Sends the follow-ups on the day

"I'll send that Friday" becomes a draft in your inbox on Friday morning, waiting for your yes, with the deck or the numbers attached.

06

Reports the pipeline on a clock

Monday at 8, a sheet and a short message: what moved, what's closing this month, what went quiet, and the three deals that need you.

Who it's for

Who hires an AI sales assistant.

Account executives

An assistant for a full calendar

Six calls a day, each with a brief before and the CRM updated after, without a minute at the laptop between them.

Founders selling

Sales ops before you have sales ops

Proposals in your branding, follow-ups on the day, the pipeline in a sheet every Monday.

Sales leaders

A clean CRM without the nagging

Every rep's deals with a next step and a real close date, because the assistant asked them, not you.

Field sales

Works from the car

A voice note after the visit becomes the CRM note, the quote and the follow-up, from WhatsApp.

Agency owners

Proposals that go out the same day

The scope from the call, priced from your rate card, as a PDF for your check before it goes to the client.

Human sales assistants

A second pair of hands

Takes the CRM hygiene, the briefs and the first drafts so you can run the deals that need a person.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't read what isn't shared

Teammates' agents work only through the apps the workspace shares. Your inbox and your personal apps stay under your own login.

Things to ask your AI sales assistant.

  1. 01

"Prep me for the 11am with Northwind. What stage are we at, what did they ask last time, who's new on their side?"

You get: A one-page brief: the deal in HubSpot, the last call's notes, the open questions, and the new person with where they came from.

  2. 02

"Draft a proposal for Osteria Luca: 12 months, the standard tier, onboarding in November, same discount as last year."

You get: A PDF in your branding, built from last year's proposal and your price list, shared as a link for your check before it goes out.

  3. 03

"Which of my deals have no next step or a close date in the past? Fix the dates I confirm."

You get: A short list with a suggested date for each; the changes go into the CRM one by one as you say yes.

  4. 04

"Here's a voice note from the Acme visit. Log it against the deal and send the follow-up I promised."

You get: The CRM note written from your words, the stage moved if you said so, and the follow-up drafted in your inbox for a yes.

  5. 05

"Every Monday at 8 send me the pipeline: what moved, what's closing this month, what went quiet."

You get: A sheet and a short message on the minute, from the CRM, with the three deals that need you first.

Questions

Frequently asked questions.

Where do I talk to it?

WhatsApp, iMessage, Slack, email or the web app. Link your phone with a code at sign-up and it answers in the same thread. A voice note from the car works as well as typing.

Will it send proposals to customers on its own?

No. It writes the document and shares it with you as a link; sending it to the customer waits for your yes, from your own inbox. You can also set the inbox to Ask first so every send is approved.

Does it join my sales calls?

Yes. Send it the link or let it join from your calendar. It appears as your notetaker, says it's recording, and texts you the decisions and next steps when the call ends, then updates the CRM.

Which CRMs does it work with?

HubSpot and Salesforce directly, and most others through their connected app. It reads deals, contacts and activity, and writes stage changes and notes with your approval, or only reads if you make the app read-only.

What do the proposals look like?

Your logo and colors, as a PDF or a Google Doc, built from what was agreed on the call and the last proposal you sent. Every number in it comes from your price list or the call notes, never guessed.

What won't it do?

It won't message a customer without your yes, won't change a price or a discount on its own, won't invent a number it couldn't find, and won't write to a CRM you've made read-only.

How does it know how I sell?

It keeps a memory of your accounts, your people and your rules, which you can read and edit in the app. Tell it "always cc Jordan on proposals" once and that sticks.

Can the whole team have one?

Yes. Every rep gets their own assistant on their own inbox and calendar. The CRM is connected once for the workspace, and a sales leader's agent can read the whole pipeline through it.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
