AI Account Manager

An AI account manager that never lets a renewal surprise you.

It knows every renewal date, watches each account's health in your CRM and support desk, preps the quarterly review and answers client threads in your voice. Risk shows up the week it starts, not the week the contract ends.

Four renewals in 60 days. Two look fine: Osteria Luca and Acme, active every week, no open tickets. Two to watch: Brightline Dental has three open Zendesk tickets about invoicing and their main contact Maya left last month; Northwind's usage is half what it was in August.

Maya's replacement is Dan Reyes, Head of Operations since September, from LinkedIn and the signature on their latest ticket. Intro draft is below for your yes: it names the invoicing tickets and offers a 20-minute call this week.

The short answer

What is an AI account manager?

An AI account manager is an agent that looks after the accounts you already have: it knows every renewal date, watches each account's health from the CRM and the support tool, preps the quarterly review, spots the upsell when the signals are there, and answers client threads in your voice when you say so. Cicada's works from iMessage, WhatsApp, Slack or email, in the apps your team already uses, and tells you about a risk the week it appears rather than the week the contract ends. Nothing goes to a client without your yes.

What it does

What your AI account manager does.

01

Tracks every renewal

Reads the renewal dates and contract values in HubSpot or Salesforce and tells you what's coming in 30, 60 and 90 days, with the health of each account next to the date.

02

Checks account health

Usage from the sheet or app you connect, open tickets in Zendesk, Intercom or Gorgias, who's gone quiet, who's changed jobs. A health note per account, every week, before anyone asks.

03

Preps the QBR

A deck or a one-pager in your branding: what they bought, what they used, the tickets closed, the numbers that moved, and the two things to propose. Built from the CRM and the support desk.

04

Spots the upsell

A second site in the news, a new hire in a team you don't serve yet, usage past the plan's limit: it tells you the signal and drafts the note.

05

Answers client threads

Reads what clients send to your inbox or your Slack Connect channel, drafts the reply in your voice, and sends it when you say so. Escalates what needs a person.

06

Reports on a clock

Monday at 8: renewals this month, accounts whose health changed, threads waiting on you, as a message and a sheet.

Who it's for

Who hires an AI account manager.

Account managers

Thirty accounts, no surprises

The renewal list, the health notes and the QBR prep done before the week starts, so you spend it on the clients.

Agency owners

Client comms that don't slip

Every client thread answered or escalated, the monthly report built, the renewal raised two months out.

Founders

An AM before you can hire one

Knows every customer's contract, their people and their tickets, and tells you which one to call this week.

Customer success leaders

The book of business in one sheet

Health, renewal date and owner for every account, refreshed weekly from the CRM and the support desk.

Managed service providers

Contracts and tickets in one view

Sees the open tickets next to the renewal date, so an unhappy client is never a surprise at signing time.

Consultancies

Retainers that get renewed

Tracks what each retainer delivered, preps the review, and drafts the renewal note in your voice.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't read what isn't shared

Teammates' agents work only through the apps the workspace shares. Your inbox and your personal apps stay under your own login.

Things to ask your AI account manager.

  1. 01

"What renews in the next 90 days, what's each one worth, and which ones look shaky?"

You get: A sheet of renewals with date, value and a health note each, plus a short message naming the two to call first.

  2. 02

"Prep the QBR deck for Highland Rentals: what they bought, what they used, tickets, and two things to propose."

You get: A deck in your branding built from the CRM, the support desk and the usage you connect, shared as a link for your edits.

  3. 03

"Northwind's usage dropped. Find out why from the tickets and the threads and tell me before I call them."

You get: A one-page read: when it dropped, the tickets around that date, who on their side went quiet, and the question to open with.

  4. 04

"Reply to Marta at Acme about the invoice question. Confirm the credit, apologize once, offer a call."

You get: A draft in your voice for your yes, from your own inbox, with the credit amount pulled from the ticket, never guessed.

  5. 05

"Every Monday at 8 send me renewals this month, accounts whose health changed, and threads waiting on me."

You get: A message and a sheet on the minute, from your CRM, support desk and inbox.

Questions

Frequently asked questions.

Where do I talk to it?

Slack, iMessage, WhatsApp, email or the web app. In a Slack channel or a group chat it stays quiet until someone names it, then answers in the thread so the team sees the result.

Will it reply to my clients on its own?

Only when you ask, and from your own inbox or the shared channel. Every message to a client waits for your yes in the chat, and you can set the inbox to Ask first for every send.

Where does the health check come from?

The CRM for the contract and the people, the support desk for open tickets, usage from a sheet or the app you connect, and LinkedIn for who's changed jobs. It says which source each signal came from.

Can it build the QBR?

Yes. A deck, a one-pager or a document in your branding, from the CRM, the support desk and the numbers you connect, shared as a permanent link. You edit, then send it yourself or ask it to.

What won't it do?

It won't message a client without your yes, won't change a contract, a price or a renewal date on its own, and won't state a number it couldn't find in your apps.

How does it remember each account?

It keeps a memory of every account's people, history and rules, which you can read and edit in the app. Corrections you give it in the chat stick.

Does it work with our support desk?

Zendesk, Intercom and Gorgias directly, and most others through their connected app. It reads tickets to judge health and can draft a reply, but it never closes or changes a ticket without your approval.

Can the whole team use it?

Yes. Every account manager gets their own agent on their own book and inbox. The CRM and the support desk are connected once for the workspace; a leader's agent can read the whole book through them.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
