The short answer

What is an AI HR assistant?

An AI HR assistant is an agent that handles the routine side of people operations: the checklist for a new starter and for a leaver, the policy questions people ask every week, and the reminders that keep leave and reviews on track. Cicada's answers from the handbook and policies you give it, in Slack, email or the web app, runs checklists and reminders on a schedule, and keeps records in the sheets and documents you already use. It doesn't give legal advice, and it hands the hard questions to you.

What it does

What your AI HR assistant does.

01

Runs onboarding

A checklist for each new starter from your template: accounts, equipment, paperwork, the first-week plan. It tracks every item, tells you what's left before day one, and reminds each owner once you say so.

02

Runs offboarding

The leaver's checklist: equipment back, access to remove, final pay details to confirm, the exit conversation booked. The access list goes to whoever runs IT.

03

Answers policy questions

Holiday, expenses, parental leave, remote work: answered from the handbook and policies you gave it, with the section it came from. If the documents don't say, it says so and asks you.

04

Sends leave and review reminders

Probation ends, review cycles, leave starting next week: a reminder to the right manager on the day, from a schedule you set once.

05

Keeps the records tidy

Starters, leavers, leave taken and review dates in a Google Sheet or an Airtable base, updated as things happen, so the answer is there when someone asks.

06

Drafts the announcements

Welcome notes, policy updates and team announcements drafted in your voice as documents for you to edit and send.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't give legal advice

It answers from your policies and keeps the process moving. Employment law questions and anything with legal weight go to you and your adviser, and it says so.

Questions

Frequently asked questions.

Where do people talk to it?

In Slack, by naming it in a channel like #people, where it answers in the thread. You can also reach it in iMessage, WhatsApp, email or the web app. In a channel or group chat it stays quiet until someone names it.

Does it give legal advice?

No. It answers from the policies you gave it and keeps the process moving. Employment law questions, disputes and anything with legal weight go to you and your adviser, and it says so.

How does it know our policies?

From the handbook and documents you give it, uploaded in the app or connected from Google Drive or Notion. It names the section it used, and if the documents don't cover a question it says so and asks you.

What won't it do?

It won't message anyone unless you asked or set it to, and messages to other people wait for your 👍 unless you've given it full autonomy. It doesn't touch pay or switch off accounts; it hands those to the person who does.

Can it see personal files?

Only what you connect. Keep personal records in an app or folder you don't connect, or set an app to Read-only so it can look but never change a thing.

Does it work with our HR system?

If your HR system is among the 1,000+ apps you can connect, it reads from it. If not, it keeps starters, leavers and dates in a Google Sheet or an Airtable base.

Can my team use it?

Yes. Everyone in your workspace gets their own agent, and shared apps like Slack and Google Drive are connected once for the team. Each manager can have their own agent for their reminders and reviews.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
