Three things. The pricing page rewrite Maya owed on Monday is still in draft. The Northwind reference call isn't scheduled; Sam said he'd ask and hasn't. The Q4 hiring plan is waiting on your numbers. The week is on one page.

The short answer

What is an AI chief of staff?

An AI chief of staff is an agent that does what a human chief of staff does for a founder or executive: keeps the list of what matters, tracks who committed to what, runs the weekly review, drafts the investor and board updates, and makes sure the decisions from meetings turn into work. Cicada's lives in iMessage, WhatsApp, Slack and email, reads the apps you connect, and remembers your priorities and your people. For a big job it coordinates specialists that work at the same time and brings you back one answer. It asks before it sends anything to another person.

What it does

What your AI chief of staff does.

01

Keeps the list of what matters

Reads the threads, the calendar and the trackers, and keeps one short list of what matters this week. Tells you what slipped before anyone has to ask.

02

Tracks every commitment

Who promised what, by when, in Slack, email and meetings. Nudges them in your voice after your yes and tells you the moment it lands.

03

Runs the weekly review

Pulls the numbers from HubSpot, Stripe and Sheets into one page on Monday at 8, with what changed and what needs a decision.

04

Drafts the updates

The investor update, the board pre-read, the all-hands notes, drafted from the apps and shared as a link with your logo on it. You edit, it sends.

05

Makes meetings turn into work

Joins the call as your notetaker, writes the decisions and owners into the tracker, and chases the owners until it's done.

06

Splits the big jobs

A quarter plan, a market scan, a hiring push: it coordinates specialists that work at the same time, and you get one answer back.

Who it's for

Who hires an AI chief of staff.

Founders

The chief of staff before you can hire one

Priorities, commitments, the investor update and the weekly numbers, run from your phone.

CEOs of small companies

A second brain for the operating rhythm

The weekly review, the metrics and the follow-ups arrive on the minute, every week, without a meeting about the meeting.

COOs

Follow-through across every team

Every decision gets an owner and a date, and the owner hears from it before you have to step in.

Heads of department

Your own operating cadence

The team's commitments tracked, the status update written, the one-on-one prep ready.

Agency owners

Client promises kept

Every deliverable date tracked across accounts, every slip caught early, the status email drafted.

Human chiefs of staff

A second pair of hands

It takes the tracking, the chasing and the first draft of every update, so you can do the judgment.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't read what isn't shared

Teammates' agents work only through the apps the workspace shares. Your inbox and your personal apps stay under your own login.

  2. 02

"Every Monday at 8 send me the weekly review: pipeline, revenue, hiring, and what needs a decision."

You get: A one-page review from HubSpot, Stripe, Sheets and the calendar, on the minute, with the decisions flagged.

  3. 03

"Plan the Q1 hiring push: roles, timing, who interviews, and a sourcing plan for each."

You get: A plan built by specialists it coordinates, one page back, with the parts it couldn't confirm marked.

Questions

Frequently asked questions.

Where do I talk to it?

iMessage, WhatsApp, Slack, email or the web app. Link your phone with a code at sign-up and it answers in the thread you ask in. In a group chat it stays quiet until someone names it.

How is this different from an AI executive assistant?

An executive assistant runs your inbox and calendar. A chief of staff runs the operating rhythm: priorities, commitments, the weekly review, the updates. Many people start with one agent for both and split the job later.

Will it message my team on its own?

Not unless you've said so. A nudge to a teammate waits for your 👍 in the chat. Once you trust it, you can give it full autonomy for nudges and keep approval on everything else.

How does it know what matters?

You tell it, once, and it keeps a memory of your priorities, your people and your rules that you can read and edit in the app. Corrections you give it in the chat stick.

Can it run the weekly review without me?

Yes. Say when and what, and it pulls the numbers from the apps you connect and sends the page on the minute. Background runs are free.

Does it join meetings?

Yes. Send it the link or let it join from your calendar. It takes the notes, writes decisions and owners into your tracker, and texts you the actions when the call ends.

Can it work with my team's agents?

Yes. Everyone in the workspace gets their own agent. Shared apps are connected once for the team; personal apps like your inbox stay under your own login. For a big job yours coordinates specialists and brings you one answer.

What won't it do?

It won't message anyone unless you asked, won't spend money, and won't put a number in an update it couldn't confirm. If it isn't sure, it says so.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
