The short answer

What is an AI virtual assistant?

An AI virtual assistant is an agent that takes the admin off your plate: clears the inbox, enters the data, does the research, books the table and the flight up to the payment step, and writes the document or the spreadsheet you need. Cicada's works from the messages you already use, iMessage, WhatsApp, Slack and email, in the apps you connect and, for sites with no app, in its own browser with your logins kept in a vault. It remembers how you like things done, and it asks before anything goes out to another person.

What it does

What your AI virtual assistant does.

01

Clears the inbox

Reads what arrives, files the noise, flags what needs you and drafts the replies you'd write yourself. Sends when you say so.

02

Does the data entry

Receipts into a sheet, leads into HubSpot, form responses into Airtable. It reads the photo or the PDF and types it in, and marks what it couldn't read.

03

Does the research

A company, a person, a market, a list of suppliers: it searches, reads the pages and sends back one page with the sources.

04

Books and arranges

The table, the appointment, the car, the hotel. It uses the app where there is one and its own browser where there isn't, and stops at the payment step for you.

05

Writes the document

A one-pager, a proposal, a deck, a spreadsheet, from your notes or a voice note, shared as a link with your logo on it.

06

Keeps the reports coming

"Every Friday at 4, the week's expenses and the open invoices" becomes a message that arrives on the minute.

Who it's for

Who hires an AI virtual assistant.

Founders

Admin without the hire

Inbox, bookings, data entry and the odd document, from your phone, before you can justify a full-time VA.

Consultants and freelancers

The back office in a chat

Invoices logged, travel booked, proposals drafted, client replies kept up, between client calls.

Small business owners

The hours after closing

Reads the day's email at 9pm, answers what it can, drafts what it can't, and the orders are logged by morning.

Sales reps

CRM and calendar kept straight

Notes into HubSpot after each call, the follow-up drafted, the next meeting booked.

Agency owners

Client admin that doesn't slip

Status emails drafted on the day, briefs filed in Notion, the invoice chased after your yes.

Human VAs

A second pair of hands

It takes the receipts, the research and the first drafts so you can take the calls and the judgment.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't read what isn't shared

Teammates' agents work only through the apps the workspace shares. Your inbox and your personal apps stay under your own login.

Questions

Frequently asked questions.

Where do I talk to it?

WhatsApp, iMessage, Slack, email or the web app. Link your phone with a code at sign-up and it answers in the same thread. Send it files, photos, PDFs and voice notes; it reads them.

What can I send it?

Text, voice notes, photos, screenshots, PDFs, spreadsheets and documents, several at a time. It works from what's actually in them and says what it couldn't read.

Will it send things without asking?

Not to other people. A reply to a client or an email to a supplier waits for your 👍 in the chat. Work that stays inside your apps, like a sheet or a draft, it just does.

Can it book travel?

It finds the options and fills in the booking up to the payment step, in the app or in its own browser with your saved login. You press pay. It never spends money on its own.

Can it use sites that have no app?

Yes. It has its own browser with your logins kept in a vault. You can watch it work live and take over if you want.

How does it learn how I like things done?

It keeps a memory of your preferences, your people and your rules, which you can read and edit in the app. Corrections you give it in the chat stick.

What won't it do?

It won't message anyone unless you asked, won't pay for anything, and won't state a number it couldn't confirm. If it isn't sure, it says so.

Can my team use it too?

Yes. Everyone in your workspace gets their own agent. Shared apps are connected once for the team; personal apps like your inbox stay under your own login.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
