One. The tenant in 4B at Maple Court emailed at 1am about water coming through the bathroom ceiling, with two photos. It's logged as urgent, and 5B is above it. The message to Acme Plumbing, your plumber for that building, is drafted with the photos.

The short answer

What does Cicada do for property managers?

For a property management company, Cicada is an AI agent that handles the messages and paperwork across your portfolio. It reads tenant emails and maintenance requests, logs each one with the unit, the photos and the urgency, and drafts the message to the right contractor. It checks who's paid in your accounting app and drafts rent reminders for your yes. It schedules inspections in the calendar and turns your photos and notes into the report, and each month it writes the owner report as a PDF with your logo. Every message to a tenant, contractor or owner waits for your yes.

What it does

What your property management company does.

01

Reads tenant messages

Tenant emails, form submissions and photos read as they arrive, sorted by urgency, with a reply drafted for your yes.

02

Logs maintenance

Each request goes in the maintenance log with the unit, the issue, the photos and the status, and stays there until it's closed.

03

Lines up contractors

Drafts the job to the right contractor with the address, access notes and photos, sends it after your yes, and chases the time.

04

Drafts rent reminders

Checks who's paid in QuickBooks, Xero or Stripe and drafts a reminder for each tenant who hasn't, for your yes.

05

Books inspections

Schedules inspections in the calendar, drafts the notice to the tenant, and turns your photos and notes into the report.

06

Writes owner reports

Each month, per owner: rent collected, maintenance done and pending, and anything that needs a decision, as a PDF with your logo.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't read what isn't shared

Teammates' agents work only through the apps the workspace shares. Your inbox and your personal apps stay under your own login.

Questions

Frequently asked questions.

Does it work with my property management software?

If it has an app, connect it in a click. If it's a website with no app, Cicada uses its own browser with your login kept in a vault, and you can watch it work and take over.

Will it message tenants or contractors on its own?

No. Every reply, job and reminder is drafted and waits for your OK, and a 👍 in the chat sends it. It never spends money or approves a quote on its own.

What about an urgent request at night?

It reads each message as it arrives and texts you straight away when one looks urgent, with the contractor message drafted. It sends nothing without your yes unless you've given it full autonomy.

Where do I talk to it?

iMessage, WhatsApp, Slack, email or the web app. Link your phone with a code and text it between inspections; it answers in the same thread.

Can it read photos and documents?

Yes. Photos of damage, leases, invoices and inspection notes. It works from what's in them and puts the details in the log or the report.

Can my team use it too?

Yes. Everyone in your workspace gets their own agent. Shared apps like the maintenance log and the accounts are connected once; each person's inbox stays under their own login.

Will it remember each building?

It keeps a memory of your buildings, your contractors, your owners and your rules that you can read and edit in the app. Corrections stick.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
