Four emails. 3B at Birch Court says the kitchen tap is leaking again and sent a photo: it's the tap Ridge Plumbing fixed on 2 Oct. 5A asked about parking, 2C confirmed Thursday's inspection, and 4D's rent reminder bounced.

Sent to Ridge Plumbing with the photo and the 2 Oct job. Told 3B the plumber has been asked to come today, and logged it. I'll text you when Ridge gives a time.

The short answer

What is an AI property management assistant?

An AI property management assistant is an agent that handles the day-to-day messages and paperwork of running rental units. Cicada's triages tenant emails from your connected inbox and messages in the WhatsApp groups you add it to, drafts replies for your yes, logs each maintenance request in a sheet with the unit, the photo and the date, and follows up with the contractor until the job is closed. It sends rent and renewal reminders on a schedule and writes inspection checklists as documents. It never makes a decision about money or a tenancy on its own.

What it does

What your AI property management assistant does.

01

Triages tenant messages

Reads tenant emails in your connected inbox and messages in the WhatsApp groups you add it to, sorts them by urgency, and tells you what needs you first.

02

Drafts the replies

Writes answers to the routine questions (parking, bins, access, move-in dates) from your building notes, and sends them after your yes.

03

Logs maintenance requests

Every request goes in a sheet with the unit, the photo, the date and who's on it, and a repeat problem in the same unit is flagged.

04

Chases contractors

Sends the job to the contractor you use and follows up until they give a time and the work is done, then closes the log entry. It can also place a call for you (paid plans, US, Canada and UK).

05

Rent and renewal reminders

Drafts rent reminders on the schedule you set and sends them after your yes, and lists the leases coming up for renewal in the next 60 days from your lease sheet.

06

Inspection checklists

Writes a checklist for each move-in, move-out or routine inspection as a document on a link, and turns the photos and notes you send back into the report.

Setup

Set up in three steps.

  1. Say what the job is

Describe the role in a sentence when you sign up, or tell the agent in the chat. It writes its own brief, which you can read and change any time.

  2. Connect the apps it needs

One click for most apps. Each one can be Full, Ask first or Read-only, for every agent in the workspace.

  3. Link your phone, or don't

Scan a code and it's in your iMessage or WhatsApp. Or keep it in the app, Slack and email. Hand it the first job in the same message.

Control

Nothing goes out without your yes.

Nothing goes out without your yes

Anything that can't be undone, and any message to another person, waits for your OK. Approve with a 👍 in the chat, or set a role to full autonomy once you trust it.

Read-only is a real lock

Make any app read-only and the agent can look but never change a thing. It applies to every agent in the workspace, from their next run.

Every step on the record

Each run shows what it read, what it did and what it sent, step by step, in the Activity tab. Corrections you make stick.

What it won't do.

Won't pretend

If it couldn't confirm something, it leaves it out and says so. A number without a source doesn't go in a message.

Won't go around you

It never messages anyone on your behalf unless you asked, never spends money, and never makes a judgement call about money on its own.

Won't read what isn't shared

Teammates' agents work only through the apps the workspace shares. Your inbox and your personal apps stay under your own login.

Questions

Frequently asked questions.

Where do I talk to it?

iMessage, WhatsApp, Slack, email or the web app. Tenants reach it through your connected inbox or a WhatsApp group you add it to; in a group it stays quiet until someone names it.

Will it reply to tenants on its own?

Only if you allow it. A message to a tenant waits for your 👍 in the chat unless you've set the role to full autonomy, and it only sends from your own connected inbox.

Does it collect rent?

No. It reminds, and it tells you who's late if your rent sheet or accounting app shows it, but it never takes or moves money and never decides on a late fee or a deposit.

Will it give tenants lease or legal advice?

No. It answers routine questions from the building notes you give it and passes anything about the lease, deposits or a dispute to you.

Can it read photos of the damage?

Yes. Tenants' photos and your own, PDFs of quotes and invoices, and voice notes. It adds them to the maintenance log and the inspection report.

Does it work with my property management software?

It connects to 1,000+ apps, and for a site with no app it uses its own browser with your logins kept in a vault. Many landlords start with a Google Sheet for leases and the maintenance log, which it keeps up for you.

Can my team use it too?

Yes. Everyone in your workspace gets their own agents. The maintenance log and shared apps are connected once for the team; each person's inbox stays under their own login.

What does it cost?

Every workspace starts with 300 free credits. You add a card at sign-up and nothing is charged until you run low; then it's $25 for 200 credits, with no subscription. A quick reply is about 5 credits and a typical run under 20; plans start at $99 a month.
